Privacy Policy

This policy explains what information Level Up Robots collects, how we use it, who we share it with, and the choices you have. Level Up Robots is run by RoboDojo, LLC (“RoboDojo”, “we”, “us”), a Delaware limited liability company with its corporate address at 349 N Eaton Dr, Lawrence, KS 66049. Our studio, where programs are held, is at 711 W 23rd Street, Ste 9, Lawrence, KS 66046. The policy covers our websites: leveluprobots.com, our program and account sites (learn.leveluprobots.com and admin.leveluprobots.com), and RoboLab, our robot simulator at robolab.leveluprobots.com. It also covers the records we keep about students in our programs. This policy is part of our Terms of Use.
The short version
- We collect what we need to run our programs, answer your questions and send the newsletter you asked for.
- Most of our students are children. We collect a child's information only with a parent's consent, and a student under 13 can't have their own account until a parent approves it.
- We never sell personal information, and we never use a child's information for marketing or advertising.
- Our sites have no advertising or analytics trackers.
- You can ask to see, correct or delete your information, or your child's, at any time by emailing leveluprobots@gmail.com.
1. Information we collect
When you contact us
Our contact form asks for your name, email address, a subject and your message. When you send a message through it, we also add your email address to our newsletter list, unless you uncheck the “Add me to the Level Up Robots newsletter” box on the form. You can unsubscribe at any time (see section 7).
When you sign up for our newsletter
We collect the email address you give us.
When you register a student
Our registration form asks for:
- About the parent or guardian: name, email address, phone number and mailing address.
- About the student: name, birthdate, current grade in school, the program you're registering for, and optionally the student's own email address and phone number.
We don't take payments through our websites, and we don't collect card or bank details.
Accounts
Coaches, staff, parents and students may have accounts. An account holds a name, email address and password, and the account's role (for example, coach or parent). We store passwords only in a protected, hashed form that can't be read back. A student under 13 can't have their own active account until a parent approves it (see section 2).
Learning records
As a student takes part in our programs, we keep a record of their progress. That record may include:
- the lessons and activities they've started, submitted and completed, and when;
- the work they submit, and their coach's comments on it;
- the experience points (XP), levels and achievements they earn;
- in RoboLab, the programs they write and save, their field and robot setups, and any files they upload, such as 3D models or images.
Information collected automatically
When you use our sites, our servers record technical information such as your IP address, browser type, the pages you request and when. We use it to keep the sites running and secure, and to stop abuse of our forms, such as limiting how often a form can be submitted. These server logs are kept for about 30 days. We also use cookies, described in section 5.
Spam and abuse protection
To block spam, we keep a list of email addresses, email domains and message content that have been used to send spam or abuse through our forms.
2. Children's privacy
Most of our students are children, and many are under 13. We follow the U.S. Children's Online Privacy Protection Act (COPPA) and take particular care with children's information.
A parent's consent comes first
- A child's information comes to us from their parent or guardian, who provides it and consents to our collecting it when they register the child.
- If a student under 13 asks for their own account, it stays inactive until a linked parent approves it. We work out a student's age from the birthdate on their registration, and if we don't have a birthdate, we treat the student as under 13. A parent can withdraw that approval at any time.
When a coach signs a student in
During our programs, a coach may sign a student in on a program device so they can work, even if the student doesn't have an account of their own. The work the student does is recorded against that student, along with the fact that a coach started the session and the coach's name.
What children share with us, and who sees it
- We collect from a child only what an activity needs: the work they do in lessons and in RoboLab, and anything they submit to their coach.
- A student's records can be seen by the student, their linked parents or guardians, and our coaches and administrators. None of it is public.
- RoboLab knows a student only by their first name and last initial.
- We use children's information only to teach, track progress and run our programs. We never use it for marketing or advertising, and we never sell it.
A parent's rights
As a parent or guardian, you can at any time:
- review the information we have about your child;
- ask us to correct or delete it;
- tell us to stop collecting information from your child. That may mean your child can't use the online parts of our programs.
To do any of these, email leveluprobots@gmail.com with your child's name. We'll confirm that you're the child's parent or guardian before acting on the request. If we learn that we've collected information from a child under 13 without a parent's consent, we'll delete it.
3. How we use information
We use the information we collect to:
- register students and run our programs, lessons and camps;
- let coaches follow and review each student's work, and let parents follow their child's progress;
- answer your messages and questions;
- send our newsletter to people on our newsletter list;
- let our team know about new registrations;
- run accounts and sign-in, and keep our sites secure and working;
- meet our legal obligations.
We don't sell personal information, and we don't build advertising profiles.
4. Who we share it with
- Our coaches and staff, when they need the information to run our programs.

Service providers that run parts of our sites for us, who may use the information only to provide those services:
- Microsoft Azure hosts our sites, database, uploaded files and server logs.
- Google reCAPTCHA checks that form submissions come from a person. It collects information about your device and browser, subject to Google's Privacy Policy and Terms of Service.
- Google Fonts supplies the fonts our pages use, and Google Maps shows the map to our location on our home page. Your browser loads both directly from Google.
- An email delivery service sends our email.
- Between our own sites. Our program site and RoboLab share one sign-in. For a student, our program site tells RoboLab only three things: an account identifier, the student's first name and last initial, and, when a coach signed them in, the coach's name.
- When the law requires it, or when we believe in good faith that sharing is needed to protect the safety or rights of our students, our users or others.
- If our business changes hands. If RoboDojo is sold or merges with another business, the information we hold may transfer with it. The new owner must keep treating the information collected under this policy as this policy describes.
We don't share personal information with anyone for their own marketing.
5. Cookies
We use a small number of cookies, all needed for our sites to work:
- a sign-in cookie that keeps you signed in. It's shared across leveluprobots.com sites, so one sign-in works for both our program site and RoboLab;
- security cookies that protect our forms from being submitted by other websites.
Google reCAPTCHA and the Google Maps map on our home page may set their own cookies. We don't use advertising or analytics cookies. You can block cookies in your browser, but you won't be able to sign in.
We don't track you across other websites, so we don't change anything in response to a browser's “Do Not Track” signal.
6. Outside tools and other websites
Some lessons send students to tools run by other companies, such as VEXcode VR at vr.vex.com, videos on YouTube, and OnShape. Our sites also link to other websites. Those services have their own privacy policies, which we don't control. We don't share students' information with them. If one of them asks a student to sign in or create an account, that happens under its own terms.
7. Your choices and rights
- Unsubscribe from the newsletter: reply to any newsletter or email leveluprobots@gmail.com and ask to unsubscribe. We'll take you off the list.
- See, correct or delete your information: email leveluprobots@gmail.com. Parents can do the same for their child's information (see section 2).
- Close an account: email us and we'll close it.
Please allow up to 10 business days for us to act on a request. We may keep a record of the request itself, and anything the law requires us to keep.
California residents: we don't share personal information with third parties for their own direct marketing, as described in California Civil Code §1798.83.
8. How long we keep information
- Registration and learning records: while the student takes part in our programs, and for two years after their last activity, so a returning student can pick up where they left off. After that we delete them, or sooner if a parent asks.
- Contact messages: for up to two years.
- Newsletter addresses: until you unsubscribe.
- Server logs: about 30 days.
- Spam and abuse block lists: for as long as they're needed to keep blocking spam and abuse.
Deleted information may stay in our backups for a short time until those backups are replaced.
9. Security
Our sites use encrypted HTTPS connections. Passwords are stored only in hashed form. Access to students' information is limited to the staff and coaches who need it. No system is completely secure, but if a breach affects your information, we'll notify you as the law requires. If you use a shared computer, sign out when you're done.
10. Where information is stored
Our sites and data are hosted by Microsoft Azure in the United States. If you use our sites from outside the United States, your information will be transferred to, stored and processed in the United States.
11. Changes to this policy
When we change this policy, we'll post the new version here and update the date at the top. If a change would affect how we use information we've already collected, we'll post a notice on our sites for 30 days before it takes effect. If a change would affect how we use children's information, we'll also tell parents and ask for their consent where the law requires it.
